Executive Summary

Shopify gift card accounting in NetSuite should separate the customer's spendable balance from the company's recorded obligation. Paid-card proceeds ordinarily begin as a contract liability, with revenue tied to satisfying the promised performance obligation rather than selling the card itself. Shopify describes gift card sales as liabilities; Accounting Standards Codification (ASC) guidance reproduced by Deloitte explains the prepayment accounting. The recommended operating model is to appoint a single card-balance owner, preserve event identifiers, and reconcile source movements to NetSuite posting records at each monthly close. [1] [2]

Connector choice changes the mapping. Oracle NetSuite Connector says Shopify card stock-keeping units (SKUs) should typically match non-fulfillable items and should not use NetSuite gift certificate items. Its payment guidance distinguishes full gift card tender from partial tender. Celigo separately documents looking up successful gift card transactions and aggregating their amounts into the configured redemption representation. These are implementation-specific paths, not interchangeable settings. Record the installed connector, enabled flows, item mappings, accounts, and acceptance-test results before approving the design. [3] [4] [5]

The report's hypothetical monthly rollforward starts with $100,000 of paid-card value and ends with $110,000, alongside $5,500 of promotional operational value. Those amounts are assumptions, not merchant observations. A separate policy bridge demonstrates why operational deactivation need not remove a financial obligation. Promotional value also requires classification: Wrapped includes it in operational liability reporting, while International Financial Reporting Standards (IFRS) 15 distinguishes sale-linked customer options that provide a material right. Reconcile those populations separately instead of equating every reported balance with deferred cash revenue. [6] (Source: standards.aasb.gov.au)

As of October 27, 2026, the principal close controls are completeness, cutoff, and policy evidence. Shopify warns that deactivated values may take up to 24 hours to appear. Federal rules protect funds on covered cards for an applicable five-year minimum period; Ontario generally prohibits expiry on most retail gift cards. Neither operational expiry nor an elapsed period automatically establishes breakage revenue. Amounts subject to remittance may remain liabilities. The controller should approve the accounting policy with appropriate advisers and retain the card population, movement detail, general ledger (GL) bridge, configuration evidence, and unresolved-exception ownership. Introduction and Background

Shopify gift card accounting in NetSuite is a reconciliation problem with several different records behind it: the customer's spendable balance, the payment applied to an order, the integration's transaction, and the general ledger (GL) posting. For paid cards, the accounting starting point is a customer prepayment. The Accounting Standards Codification (ASC) guidance reproduced by Deloitte requires a contract liability before the promised goods or services transfer. [2]

The implementation question is therefore broader than whether an order imported successfully. A controller needs to establish which events changed the outstanding obligation, which NetSuite records posted those changes, and whether anything happened outside the order feed. Prolecto's published architecture illustrates this distinction by treating an external gift card system as a subledger to NetSuite. That is a useful design pattern, rather than a requirement to reproduce that particular implementation. [9]

Payment settlements alone cannot establish completeness. A2X documents gift card movements included in its reports but absent from the Shopify payouts it receives. Equally, product classification cannot be assumed across apps: Wrapped says its Digital Gift Card is an ordinary Shopify product whose sales appear in product sales rather than Shopify's native gift card liability category. The controller should identify the actual issuing application before selecting a report. [10] [6]

This report examines native cards, connector-specific accounting representations, and the evidence needed for monthly close. Its scope includes purchased cards, promotional awards, refunds, partial redemptions, deactivation, and store credit. Recommendations are control designs for a company to approve, not claims about a merchant's installed configuration. The worked amounts are explicitly hypothetical.

A useful acceptance criterion is straightforward: an independent accountant should be able to move from an opening balance to an ending balance, identify every reconciling item, and reproduce the NetSuite result without relying on an integration operator's memory. A successful synchronization message is one piece of that evidence, not the completed reconciliation.

Key Changes: Treat Each Gift Card Event Separately

The necessary process change is to replace a single “gift card” transaction category with distinct economic events. Shopify says a gift card sale is a liability, while HotWax's documented physical-card workflow separately addresses activation through NetSuite, HotWax Commerce, and Shopify. Selling value and making that value spendable should therefore have separate evidence even when they happen close together. [1] [11]

Table 1 maps the events to candidate source evidence and conditional accounting outcomes. Debit (Dr) and credit (Cr) describe conceptual posting effects. They do not prescribe a particular NetSuite form, tax treatment, or recognition date.

EventSource evidence to retainConditional NetSuite and GL treatment
Purchased cardOrder line, payment, card identifier (ID), activation statusUpon receipt of customer consideration, Dr cash or processor receivable; Cr gift card contract liability. KPMG identifies gift cards as a prepayment example. [12]
ActivationActivation response, serial or card ID, linked saleConfirm spendable value; avoid recording the sale again. HotWax documents activation as a separate synchronization step. [11]
RedemptionSuccessful tender transactions and affected cardApply value once to the order. Celigo documents redemption transactions separately from the original order record. [5]
Merchandise refund to a cardReturn, original tender, refund transaction, restored balanceReverse the merchandise accounting as appropriate and restore the relevant liability. Shopify Point of Sale (POS) can also refund another payment method to a gift card. [13]
Refund of the card productOriginal card sale, refund, deactivation evidenceReverse the paid-card obligation and cash settlement as appropriate, without also treating deactivation as breakage. Shopify automatically deactivates a refunded purchased card. [14]
Expiration or deactivationTerms, status change, remaining balance, legal-policy decisionTest operational and accounting consequences separately. Shopify retains expired balances in outstanding reporting. [1]
Promotional issuanceCampaign authorization, consideration assessment, issue methodSeparate operational face value from the accounting measurement. A material right associated with another sale may require allocated consideration. (Source: standards.aasb.gov.au)
Customer store creditCustomer account, credit transaction, refund or campaign originMaintain a distinct event class and reconciliation. Shopify's online store credit redemption depends on customer-account sign-in or Shop Pay. [15]

The table's central control is one posting for each economic movement. A card product refund and its resulting deactivation can describe the same cancellation. Recording both as unrelated liability reductions would overstate the reduction. Conversely, a refund restoring spendable value is a new increase to the remaining obligation, rather than another gift card sale.

Purchased and promotional value need different policy decisions

Operational systems may aggregate value that accounting must distinguish. Wrapped explicitly includes promotional value in its liability figures. That reporting definition establishes what the system counts, not the company's financial reporting measurement. [6]

For United States generally accepted accounting principles (US GAAP), EY distinguishes a material customer right from a marketing offer. Its guidance calls for allocating transaction price to a material right; an unconditional promotional award cannot simply inherit the journal entry for a cash-funded card. The International Financial Reporting Standards (IFRS) material-right assessment also appears in the equivalent standard published by the Australian Accounting Standards Board. [16] (Source: standards.aasb.gov.au)

The policy file should specify:

  • Paid consideration: Identify the amount received and any discount between price and face value.
  • Sale-linked award: Assess whether another transaction contains a material customer right.
  • Standalone promotion: Document the campaign's substance and approved recognition policy.
  • Refund-funded value: Preserve the return or credit obligation that created the balance.
  • Operational face value: Track what the customer can spend independently of the accounting measurement.

Expiry is not an automatic revenue instruction

ASC guidance reproduced by Deloitte permits proportional breakage recognition when expected entitlement and the relevant estimation constraint are satisfied; otherwise recognition waits until exercise of remaining rights becomes remote. EY describes the same conditional distinction for retail arrangements. Breakage means expected nonexercise of customer rights, not merely a card becoming inactive. [2] [16]

Legal expiry is a separate test. The Consumer Financial Protection Bureau (CFPB) explains the federal minimum protection for funds on covered cards, including the applicable five-year period. Qualifying promotional cards have a different regulatory scope and disclosure requirements. These are category-specific rules, not permission to expire every card after that period. [7]

A useful acceptance criterion is straightforward: an independent accountant should be able to move from an opening balance to an ending balance, identify every reconciling item, and reproduce the NetSuite result without relying on an integration operator's memory.

Choose the Balance Owner and Preserve Event Identity

For an Oracle NetSuite Connector design using native Shopify cards, the natural starting point is Shopify as operational balance owner and NetSuite as financial record. Oracle's setup guide says card information and balances are managed in the storefront. This should become an explicit architecture decision, with responsibility for issuance, balance correction, redemption, and migration assigned in writing. [17]

A different card engine can change the answer. Wrapped tells merchants to correct balances in Wrapped rather than directly in a connected sales channel. That is evidence for choosing a single operational owner, not evidence that every Shopify deployment must use the same owner. [6]

Avoid describing synchronized systems as mutually authoritative. Instead, define which service can create spendable value and which system records its accounting consequence. An integration may copy identifiers and amounts without owning the right to modify balances.

Recommended event identity contract

Use identifiers as deduplication keys, with a stored cross-reference to downstream postings. Shopify's card export distinguishes its unique card ID from the card code; its gift card transaction interface separately exposes a unique transaction ID. The documentation establishes identifiers, but does not justify promising that every integration field is immutable. [14] (Source: shopify.dev)

A recommended integration record includes:

  • Store identifier: Keep events from different storefronts separate.
  • Card identifier: Retain the source card ID, not just a code suffix.
  • Order and line identifiers: Link sale or redemption evidence when an order exists.
  • Transaction identifier: Store the specific balance-changing or tender event.
  • Parent or reversal reference: Connect refunds, cancellations, and corrections.
  • Amounts and currencies: Retain original currency alongside accounting conversion.
  • Timestamps and cutoff: Preserve business time, source processing time, and import time.
  • Posting cross-reference: Record NetSuite internal ID, transaction type, status, and replay outcome.

Shopify exposes transaction amounts in shop and presentment currencies. Preserve those currency meanings rather than treating every amount field as the same unit. Also avoid making a gateway receipt blob the primary contract: Shopify explicitly says its receiptJson field is gateway-specific and is not stable. (Source: shopify.dev)

The interface must also accommodate events without an order. Shopify's GiftCard object says manually created cards have no associated order. An order-only completeness test therefore cannot, by itself, demonstrate that all issuance was captured. Add a separate authorized-issuance extract and compare it to the financial treatment. (Source: shopify.dev)

In8Sync documents storing the Shopify card ID in NetSuite to match later redemptions. Celigo separately documents order-level duplicate checking through an ExternalID. These solve different identity problems. A recommended replay test should verify the same event produces no additional financial movement, even if the parent order already exists. [18] [19]

Balance migration needs its own acceptance test

The standard Shopify comma-separated values (CSV) export exposes only the last four code characters and cannot independently recreate cards. Treat a card-balance migration as a controlled balance-and-redemption project, not as an item import. Require the selected provider to specify the supported transfer mechanism, customer redemption continuity, reconciliation totals, and rollback approach. [14]

Figure 01
Spendable balances and recorded obligations
Operational balance
  • The operational issuer controls what customers can spend.
  • Track operational face value independently of the accounting measurement.
  • Calculate paid-card and promotional operational balances separately.
Financial obligation
  • Financial records explain what the company still owes and when an approved accounting event changes it.
  • Paid-card proceeds ordinarily begin as a contract liability, with revenue tied to satisfying the promised performance obligation.
  • Deactivated paid value may remain a liability under the approved legal and accounting assessment.

The worked amounts are hypothetical. Promotional accounting is assessed separately; operational deactivation does not automatically remove the financial obligation.

Implementation Considerations and Process Changes

Oracle NetSuite Connector: separate sale mapping from tender mapping

Oracle documents WebOrderGiftCard as the fallback stock-keeping unit (SKU) when the Shopify card product has no assigned SKU. It describes the matching NetSuite item as typically non-fulfillable and explicitly says not to use a NetSuite gift certificate item for this connector mapping. Those instructions are connector-specific. [3]

For redemption configuration, Oracle documents a Discount item, an internal-ID setting under order discounts, and an instruction to leave Apply Before Sales Tax unchecked. Its guide also warns that only one header-level discount item can be posted at a time. Capture the actual settings and test their resulting GL effect rather than assuming the item's label determines its account. [17]

There is an important documentation distinction: Oracle's payment-method guidance says a fully gift-card-funded order appears with a gift card payment method, whereas a partially funded order uses a discount item when configured. Test full tender and split tender separately; a general statement that every redemption follows the same NetSuite path would miss this distinction. [4]

Celigo: establish which resource and flow produced the amount

Celigo's gift-card help article says redemption creates a separate Shopify transaction. Its documented Integration App process calls the order transaction resource, filters successful gift card transactions, and sums their amounts while retaining transaction IDs. This is materially different from reading only the original order payload. [5]

Celigo's order documentation describes an additional non-inventory redemption line. Its separate direct-to-consumer template guidance also specifies a non-inventory item, while historical release notes describe additional supported item types. These pages cover different scopes and dates. Approve the selected Integration App or template configuration instead of generalizing across the product family. [19] [20] [21]

Refund setup is also version-sensitive. Celigo's October 12, 2026 refund documentation directs users toward its GraphQL flow and says returns require that flow. The older redemption-resource explanation should not be treated as proof of every current deployment's application programming interface (API) transport. Record enabled flows and the installed release alongside the test evidence. [22]

Table 2 compares documented implementation paths and the proposed division of responsibility. It is a configuration comparison, not a ranking of integration quality.

Implementation pathDocumented representation or proposed roleEvidence required before acceptance
Oracle NetSuite ConnectorTypically non-fulfillable sale item; no NetSuite gift certificate item for the Shopify SKU. [3]Matched SKU, tender-specific mappings, posting accounts, tax behavior.
Celigo Integration AppSuccessful gift card transactions feed a configured redemption representation. [5]Source transactions, summed tender, retained IDs, enabled flow and release.
Pipe17Recommends a non-inventory sale item and documents a negative payment-item redemption line linked to liability. [23]Deposit, invoice, and redemption postings reconcile to the same obligation.
In8SyncDocuments a NetSuite Gift Certificate item for its own workflow. [18]Supported creation and redemption behavior, source-card cross-reference.
HotWax CommerceDescribes physical-card activation synchronization through NetSuite and Shopify. [11]Serial-to-card linkage, activation acknowledgment, order completeness.
Prolecto's published architectureExternal-card subledger with a transfer to customer-deposit liability before fulfillment. [9]Deposit application and later revenue posting, without duplicate liability relief.
Houseblend, if selected as implementation adviserProposed project role: configure the selected path and deliver the reconciliation controls described here. The same source evidence, controller-approved policy, and reproducible acceptance tests.

The comparison explains why NetSuite item type cannot be selected in isolation. Oracle's instruction and In8Sync's instruction differ because their integration designs differ. Houseblend's proposed implementation role does not constitute another card engine or establish accounting policy. The controller remains responsible for approving the actual postings and evidence.

The minimum acceptance scenarios should cover:

  • Purchase and activation: Confirm a funded card creates the intended obligation once.
  • Partial redemption: Confirm the unspent balance survives subsequent orders.
  • Split and full tender: Compare both paths, including tax and rounding.
  • Refund allocation: Confirm value returns to the intended tender or credit instrument.
  • Administrative issuance: Test a card without a normal sales order.
  • Replay and late arrival: Confirm reprocessing does not duplicate a posting.

Build the Monthly Liability Rollforward

Use a documented movement equation:

Closing operational value = opening value + sold or issued value + refunds restoring value + signed adjustments - redemptions - deactivated value.

This is a control equation, not a universal revenue-recognition formula. Shopify's outstanding report presents daily balance movements. A2X separately defines sold and issued value as increases and refunds added to card balances as increases; its report terminology must be mapped to the company's chosen population. [1] [24]

Reconcile population, movement, and accounting separately

Start with the exact population: storefront, issuing engine, legal entity, currency, cutoff, and card origin. Shopify's aggregate finance reports do not divide balances by issue method. The card CSV provides issue method, currency, balance, and date fields that can support a separate classification schedule. Neither extract alone replaces the accounting policy assessment. [1] [14]

A current balance snapshot also needs a clear time basis. Wrapped explicitly distinguishes a historical point-in-time liability report from current balances on cards activated during a selected range. Do not substitute a creation-date filter for an ending-balance report. Retain the extraction time and reporting parameters with every close pack. [25]

For movements, use a transaction-level bridge when aggregate totals differ. Shopify says it does not provide a single per-transaction ledger across all cards; its GiftCard object nevertheless exposes card transaction history. Where access permits, retain detailed events or an approved provider extract that links movements to card and transaction IDs. Validate completeness and permissions before relying on that design. [1] (Source: shopify.dev)

Report names alone are insufficient. A2X distinguishes older cumulative reports from monthly incremental reports. Record which report definition was used and reconcile signs from the column definitions. If a displayed formula conflicts with the definitions, calculate the bridge independently and resolve the discrepancy before posting a close adjustment. [10]

Recommended close evidence and ownership

The monthly proof should include:

  • Controller: Approved policy for paid value, awards, refunds, breakage, and liability classification.
  • Commerce operations: Card population, issue-method classification, and authorized manual changes.
  • Integration owner: Successful, failed, retried, and delayed event logs with source IDs.
  • Revenue accountant: Opening balance, signed movement schedule, and closing subledger total.
  • Treasury or payments owner: Receipt and settlement evidence for funded purchases.
  • NetSuite administrator: Item/account configuration and GL detail for the posting period.
  • Legal or tax adviser: Applicable terms, expiry constraints, and remittance assessment.
  • Preparer: Itemized reconciling differences with amounts, cause, age, and expected resolution.
  • Reviewer: Evidence of review, approved entries, and closure of material exceptions.

Avoid using payment deposits as a proxy for all issuance. A2X's report documentation explicitly places some gift card activity outside its received Shopify payouts. Likewise, refund routing requires clear ownership: Oracle says one connector account does not support refund synchronization in both directions, while Celigo marks exported refund records to prevent repeated synchronization. Retain both the operational result and the financial posting. [10] [26] [22]

Figure 02
Build and substantiate the monthly close
  1. 01Define the population and cutoff

Specify storefront, issuing engine, legal entity, currency, cutoff, and card origin before reconciling balances.

  2. 02Calculate signed movements

Start with opening value, add issuance, restored refunds, and signed adjustments, then subtract redemptions and deactivated value.

  3. 03Trace detailed events

When aggregate totals differ, use detailed events or an approved provider extract that links movements to card and transaction IDs.

  4. 04Bridge the source balance to the GL

Retain opening balance, signed movements, source ending balance, NetSuite GL detail, and an itemized bridge.

  5. 05Resolve and review exceptions

Document each difference with its amount, cause, age, and expected resolution. Retain review evidence, approved entries, and closure of material exceptions.

An independent accountant can reproduce the NetSuite result and identify every reconciling item.

Data Analysis and Evidence

Monthly rollforward (Hypothetical Example)

The following amounts are assumptions for a worked control example, not observed merchant results, market statistics, or a recommended accounting policy. All amounts use one hypothetical currency, US dollars, and exclude tax and foreign exchange. Promotional value is tracked separately to prevent an operational total being mistaken for the paid-card GL balance.

Table 3 shows the arithmetic. The economic categories follow the distinction between customer-funded prepayments and operational promotional balances; KPMG describes the former, while Wrapped explicitly separates promotional value in its reporting. [12] [25]

MovementPaid-card populationPromotional populationInterpretation
Opening operational balance$100,000$5,000Agreed prior-period source balances.
Sold or newly issued value+$25,000+$2,000Consideration-backed issuance versus campaign issuance.
Refunds restoring balance+$4,000$0Restored spendable value.
Authorized adjustments+$500$0Supported positive correction.
Redemptions-$18,000-$1,200Successful uses of value.
Deactivated value-$1,500-$300Operational removal; no automatic revenue conclusion.
Closing operational balance$110,000$5,500Calculated independently for each population.

The combined source balance is $115,500. Suppose the company's approved legal and accounting assessment requires the $1,500 of deactivated paid value to remain a liability. The expected paid-obligation total would then be $111,500: combined source value of $115,500, less promotional operational value of $5,500, plus the retained paid obligation of $1,500. Promotional accounting would be assessed separately. This assumed bridge illustrates why different source and GL totals can be reconcilable without a balancing entry to revenue.

This retained-obligation assumption is consistent with the need to assess remittance: ASC guidance reproduced by Deloitte requires a liability for amounts that must be paid to another party, and IFRS 15 contains a corresponding provision. The illustration does not determine which amounts any merchant must remit. [2] (Source: standards.aasb.gov.au)

Journal entries and partial redemption (Hypothetical Example)

Assume a $120 merchandise sale is fully earned on delivery, funded by $40 of gift card tender and $80 of card-processor proceeds. Ignoring tax, fees, and inventory entries, the conceptual posting is Dr gift card liability $40, Dr processor receivable $80, and Cr merchandise revenue $120. Do not add another $40 liability debit merely because the connector also shows a negative tender line. Reconcile the aggregate effect of all posting records.

If tender occurs before delivery, revenue timing requires a different sequence. Prolecto's published architecture transfers gift card liability to customer-deposit liability before fulfillment. That supplies a documented alternative to assuming redemption itself always earns product revenue. [9]

Quantified cutoff and legal anchors

Shopify says deactivated values may take up to 24 hours to appear. Wrapped describes a separate report delay of about two hours. These are provider-specific timings, not measured integration service levels; close procedures should preserve extraction timestamps and investigate later-arriving movements. [1] [25]

The FTC describes the federal five-year protection for gift card funds, while Ontario generally prohibits expiry on most retail business gift cards. Neither rule establishes a breakage rate. No statistical rate is assumed in this worksheet. [27] [8]

Implications and Future Directions

The durable design is an event-controlled subledger, with the selected issuer responsible for spendable balances and NetSuite responsible for approved financial classifications. Build the integration contract around source identity, amount, currency, event type, and accounting disposition. A new report layout should then require a mapping review rather than a redesign of the entire accounting process.

Currency deserves particular attention. Shopify's June 5, 2026 changelog says API version 2026-07 introduces local-currency gift cards and a creation input named initialAmount, replacing deprecated initialValue input. This does not mean the output field was removed. The changelog also says product issuance-currency and cross-currency-redemption settings cannot be changed after creation. (Source: shopify.dev)

Accordingly, test the merchant's actual API version and currency configuration before enabling additional markets. Keep card currency, shop currency, presentment currency, and NetSuite book currency explicit. Shopify's OrderTransaction object distinguishes shop and presentment amounts; conversion and rounding belong in a separately reproducible accounting bridge. (Source: shopify.dev)

Exception triage should assign both a cause and an owner:

  • Admin-created card: Commerce operations supplies authorization; accounting classifies its economic origin.
  • Imported order: The integration owner checks balance effects. Shopify says imported-order gift card payments are not automatically subtracted. [1]
  • Delayed deactivation: The preparer matches processing time to the reporting cutoff.
  • Refund mismatch: Payments operations compares tender allocation with the balance restored.
  • Missing redemption ID: Integration support supplies the successful tender record and posting link.
  • Cross-currency difference: Accounting reproduces the conversion and approved rounding treatment.

Jurisdiction remains a separate workstream. Québec's consumer regulator prohibits expiry or usage deadlines for prepaid cards usable as cash; Ontario provides exceptions to its general no-expiry rule. Delaware's statute expressly includes gift cards and certain customer credit balances in its property definitions and sets activity-based abandonment rules. These examples demonstrate why one global expiry-to-revenue rule is unsuitable. They do not establish the governing law for a particular merchant. [28] [8] [29]

A controller should obtain accounting and legal advice for the applicable arrangements, then translate that advice into approved event mappings and retained evidence. Integration changes, new promotional programs, and market expansion should trigger targeted reassessment of those decisions.

Frequently Asked Questions (FAQs)

How should Shopify gift card redemption map in NetSuite?

Use the selected connector's documented representation and verify the combined GL effect. Oracle distinguishes full gift-card payment from partial payment; Celigo documents a configured redemption line fed by successful tender transactions. Neither description, by itself, proves that a merchant's chosen account mapping is correct. [4] [19]

How are partially redeemed cards and refunds reconciled?

Track the remaining balance and link each refund to its original tender. Shopify documents that card value can be used over multiple checkouts. For split-tender partial refunds, its default is to refund the gift card first, with allocation adjustable by the merchant. The close pack should retain the actual allocation used. (Source: shopify.dev) [14]

Can gift card breakage be booked when a card expires?

There is no universal expiry-based entry. Apply the approved revenue standard, entitlement assessment, estimation constraint, and applicable remittance rules. The ASC guidance reproduced by Deloitte distinguishes proportional recognition from waiting until exercise becomes remote, and separately addresses amounts payable to another party. [2]

Can the Shopify card CSV replace a detailed subledger?

It is useful population evidence, but the standard export cannot independently recreate cards and is not a complete transaction-history substitute. Combine card identifiers and balances with source events, integration logs, and NetSuite posting references. Reconcile missing history explicitly rather than inferring it from an ending balance. [14] (Source: shopify.dev)

Conclusion

A reliable Shopify-to-NetSuite gift card close begins with a precise agreement about ownership and events. The operational issuer controls what customers can spend. The financial records explain what the company still owes, where that obligation sits, and when an approved accounting event changes it. The integration connects those responsibilities through preserved identifiers and reproducible postings.

The recommended implementation sequence is to classify card populations, approve the accounting policy, configure the selected connector, and test the complete lifecycle. Purchase, activation, partial redemption, split tender, refund, manual issuance, and deactivation all need identifiable evidence. Connector-specific instructions should remain attached to the configuration they describe.

For monthly close, retain the opening balance, signed movements, source ending balance, NetSuite GL detail, and an itemized bridge. Distinguish paid value from promotional face value and operational deactivation from financial derecognition. Every unexplained difference should have a documented cause and an owner, rather than a journal entry whose only purpose is to make totals agree.

The worked rollforward is a template for that discipline, not a conclusion about any company's liability. Its value is that another reviewer can reproduce the arithmetic, trace the records, and understand why source balances and financial balances agree or differ. That is the practical standard for a gift card integration ready to support monthly close.
