Executive Summary

NetSuite finance spreadsheets should be assessed workbook by workbook, with a documented choice to retain and control, automate a governed refresh, rebuild a workflow, move planning into a suitable application, or retire the workbook. Exporting data is a supported NetSuite use: Oracle documents report exports and the associated export permission. A spreadsheet’s existence therefore does not establish an unsuccessful enterprise resource planning (ERP) implementation. [1] The Institute of Chartered Accountants in England and Wales (ICAEW) guidance instead supports identifying spreadsheets tied to important processes and increasing independent testing where risk warrants it. [2]

The proposed inventory and disposition matrix is an original editorial framework, not an Oracle classification or a validated risk model. It distinguishes a legitimate management model from repeated data preparation, transactional work, record keeping and presentation. Scenario analysis has a recognized role in financial modeling; retaining an explicit judgment can be appropriate. [3] Conversely, a workbook that repeatedly repairs missing classifications needs an upstream owner and a dependency plan. Data-ownership guidance supports inventorying both ownership and the movement of information through an organization. [4]

The practical acceptance test has separate questions: are the inputs complete and accurate, do the calculations reproduce the intended logic, and does the result serve the authorized consumer? The Public Company Accounting Oversight Board (PCAOB) explicitly addresses accuracy, completeness and precision for company-produced audit information; its requirements apply within its audit scope, rather than automatically to every reader. [5] The UK government’s AQuA Book similarly distinguishes fitness for purpose from merely following a specification. [6] A smaller workbook estate is useful only when the required decisions and evidence survive the transition.

No current representative NetSuite spreadsheet-error prevalence estimate was established in this research. A 2011 survey of 38 US participants provides historical lifecycle-control evidence, not a contemporary error benchmark. [7] For funding decisions, this report instead supplies an explicitly fictional calculation: observed runs multiplied by preparation and review time, valued separately from actual cash expenditure. Tool selection follows the workbook’s job: Excel refresh, reporting and planning submission are different capabilities. Microsoft documents distinctions even between query preview and worksheet refresh, while Anaplan distinguishes read-only from read-write connections. [8] [9] The recommended deliverable is an accepted disposition register with owners, dependencies, reconciliation evidence and a retirement decision for each recurring workbook.

Introduction and Background

Finance spreadsheets after NetSuite implementation deserve a more precise question than whether Excel should disappear. Which decision relies on this workbook, what information enters it, and where should the next controlled step occur? Oracle explicitly supports report exports, including spreadsheet-oriented formats. [1] A controller can therefore evaluate NetSuite financial reporting in Excel as an operating choice, rather than treating every export as an exception requiring replacement.

This report addresses chief financial officers (CFOs), controllers, finance transformation owners and NetSuite administrators in commerce, software as a service (SaaS) and multi-entity businesses. The objective is a portfolio of specific decisions. A forecast sensitivity model may deserve continued use; a recurring copy-and-paste reconciliation may deserve a governed source; an approval tracker may require a workflow. The distinction starts with intended use. The National Audit Office frames model assurance around fitness for decision-makers. [10]

The method below is an original decision aid. Its categories, suggested inventory fields and acceptance criteria are recommendations, not external standards, measured benchmarks or accounting advice. They draw on professional spreadsheet guidance and analytical quality assurance, including proportionate testing and documented handover. [2] [6] Local accounting judgments, retention obligations and audit requirements should be agreed with the organization’s accounting and assurance professionals.

Houseblend’s perspective is that of a NetSuite implementation and operations consultancy: the decision should produce a scoped piece of reporting, integration, process or administration work. The tables compare workbook dispositions, rather than service providers. No connector earns a recommendation simply because it removes a download. A useful replacement must preserve the consumer’s required result and make its ownership explicit.

Key Changes: From Workbook Counts to Controlled Outcomes

Identify the job before choosing the technology

Classify each workbook by its dominant purpose: analysis, source-data entry, calculation, approval, reconciliation, record keeping or presentation. Record secondary purposes separately. A workbook may combine all of these, but that does not mean a replacement should. ICAEW advises considering downstream processes that rely on spreadsheet outputs. [2] The proposed classification makes those dependencies visible before any automation begins.

Distinguish management judgment from data repair. A scenario model explores an assumption, such as a management-selected hiring plan; CFA Institute includes scenario analysis in its financial-modeling curriculum. [3] A recurring manual reassignment of transactions to departments is a different remediation candidate. The inventory should identify who can resolve the classification issue at its source. FAST’s modeling guidance supports reflecting business assumptions directly and faithfully. [11]

Treat the refresh boundary as a control boundary

“Connected to NetSuite” does not describe the entire data journey. Microsoft supports external-data refresh on opening a workbook or at timed intervals, but a Power Query Editor refresh does not itself update the worksheet or Data Model query. [8] Acceptance testing must therefore inspect the final consumed output, including its refresh status, rather than relying on a successful intermediate preview.

Workbook links also need an owner. Microsoft warns that suppressing both link refresh and the prompt can leave users unaware of stale data. [12] The proposed refresh record should identify the approved source, executing identity, expected period and observable failure state. A scheduled task should produce evidence of completion or an actionable exception.

Recheck account behavior when platform dependencies change

Oracle’s NetSuite 2026.2 documentation changes the default Excel export format from .xls to .xlsx; the release note was updated October 19, 2026. [13] Test file-dependent macros, imports and downstream templates against the format actually produced by the account. This is a compatibility check, not evidence that every existing workbook needs rebuilding.

For Connect dependencies, Oracle documents the old NetSuite.com data source becoming unavailable when an account upgrades to 2026.1, and requires SuiteQL queries for NetSuite2.com. [14] [15] An inventory should therefore identify the actual connection and query owner rather than recording only “ODBC connection.” Open Database Connectivity (ODBC) is one of the supported driver approaches, alongside Java Database Connectivity (JDBC) and ADO.NET. [16]

Separate version controls from access controls

Microsoft explicitly states that worksheet protection is not intended as a security feature. [17] Protecting formulas may reduce accidental editing, but access to the file and its data requires a separate decision. Use the principle of least privilege, which the National Institute of Standards and Technology (NIST) defines around the minimum access necessary for assigned tasks. [18] Review refresh identities and external links separately from the workbook’s visible recipients.

Figure 01
Management judgment and recurring data repair
Retain management judgmentProportionate controls
  • Use scenario models to explore explicit management assumptions, such as a hiring plan.
  • Retain Excel when its purpose and controls remain suitable for the required decision.
Resolve recurring data repairUpstream ownership
  • Treat repeated manual transaction reassignment as a remediation candidate and identify who can resolve it at source.
  • Give repeated repairs to missing classifications an upstream owner and a dependency plan.

The inventory and disposition matrix is an original editorial framework, not an Oracle classification or a validated risk model.

A smaller workbook estate is useful only when the required decisions and evidence survive the transition.

Inventory the Workbook Estate and Assess Local Risk

Start with recurring processes and their consumers. Ask process owners to demonstrate a completed run and identify the authoritative file. Record copies and handoffs as dependencies; do not treat every dated version as a separate business process. ISACA’s data-ownership guidance connects a dynamic inventory with identifying ownership. [4] The inventory should explain how information moves, not merely list filenames. [4]

Table 1 is the proposed workbook inventory and disposition record. Here, ID means identifier. The entries are field groups for a local register, not observations about a real company.

The register becomes useful when each row connects a business result to an owner and evidence. Its format can be simple. ICAEW recommends naming and annotating queries and connections; the UK government’s spreadsheet guidance also calls for documenting systems or processes that could break when code changes. [2] [19] A long formula inventory without these relationships would leave the key decision unanswered.

For a practical review, distinguish the following control-gap categories. These are proposed diagnostic categories, not a universal risk score:

  • Source data: Missing or inconsistent master data, unowned mappings or unclear transaction classifications.
  • Extraction: Wrong population, excluded records, unsuitable filters or an unexplained difference from the source report.
  • Refresh: Stale connections, expired credentials, incomplete loads or output produced before a refresh completed.
  • Calculation: Changed formulas, unexplained overrides, macro dependencies or inconsistent treatment of exceptions.
  • Access and versions: Excessive editing rights, competing approved copies or unclear release ownership.
  • Evidence and approval: Missing reconciliation, absent reviewer acceptance or an undocumented final adjustment.
  • Continuity: An unavailable preparer, undocumented dependencies or an untested recovery procedure.

For each gap, record the observed condition, affected result, current control, responsible owner, proposed action and required acceptance evidence. Separate what was demonstrated from what an owner believes is happening. The AQuA Book supports a structured business-risk assessment to determine assurance effort. [6]

Assess consequence locally. Consider whether an incorrect result could affect an external financial statement, a cash decision, a contractual calculation or an internal management view; also consider reversibility and how soon an error would be detected. Agree the relevant thresholds with the controller. ICAEW’s proportionate-testing principle supports greater independent testing for riskier workbooks. [2] This report supplies no validated scoring weights or universal materiality threshold.

Choose the Disposition and Integration Pattern

A disposition should state both the intended destination and the prerequisite for getting there. “Automate” is incomplete if the team has not resolved who owns the mapping, which dataset is authoritative or who accepts the output. National Audit Office model guidance provides governance and assurance questions that are useful when challenging such decisions. [10]

Table 2 presents the proposed disposition matrix. The choices can coexist within a single finance process.

Workbook’s actual jobProposed dispositionCondition for choosing itDependency and acceptance evidence
Management assumptions and scenariosRetain with proportionate controlsFlexible judgment remains the required outputApproved assumptions, traceable calculations and independent review appropriate to impact. [11]
Repeated preparation of reliable source dataGovern the extract and refreshThe calculation remains useful but the data preparation is repeatableApproved source definition, completeness reconciliation, refresh evidence and exception handling. [20]

Duplicate output or historical referenceRetire or archiveConsumers accept a replacement or confirm no continuing operational useDocumented acceptance, preserved approved records and updated downstream references. [2]

The matrix deliberately has no universal winner. Retaining Excel is appropriate when its purpose and controls remain suitable. A migration is incomplete when a familiar model disappears but the management decision becomes harder to reproduce. The AQuA Book’s fitness-for-purpose distinction is the relevant test. [6]

NetSuite Excel integration and financial reporting

For occasional reporting, a controlled export may be sufficient. Record the exact report, filters and permissions. Where relationships matter, Oracle recommends including the internal identifier (Internal ID) in exported results. [1] For a recurring connected route, SuiteAnalytics Connect is an add-on module; obtain the applicable commercial terms rather than assuming the account includes it. [21] Reporting access does not by itself authorize distributing the resulting workbook.

Third-party products document different ways to retain Excel. Solution 7, offered by Zone, supports reports using users’ layouts, formulas and pivots. [22] ExtendInsights advertises automatic or on-demand spreadsheet refresh. [23] Spreadsheet Server describes preconfigured general ledger (GL) reporting for NetSuite. [24] These are vendor-described capabilities, not independent performance measurements or evidence that a particular account configuration will meet the acceptance criteria.

A proof should use the actual financial statement and a representative exception, rather than a generic sales demonstration. Spreadsheet Server describes multi-company and multi-currency reporting; the buyer still needs to verify the organization’s required consolidation treatment. [24] Solution 7 describes combining NetSuite data with manual or third-party inputs; those inputs still require ownership and review. [22] Test each candidate against the same approved output before comparing effort and commercial terms.

NetSuite financial planning spreadsheets

Distinguish reporting refresh from planning submission. Oracle’s Smart View workflow for NetSuite Planning and Budgeting supports working with planning forms in Excel, and its instructions warn that refreshing overwrites unsaved changes. [25] Preserve that distinction in test scripts: retrieving actuals and submitting an approved forecast are different operations.

The distinction also appears outside Oracle. Workday Adaptive Planning documents optional OfficeConnect reporting software and a separate Excel planning interface in which changes require submission before upload. [26] [27] Anaplan distinguishes read-only connections from connections that permit writing data back. [9] None of these statements proves that spreadsheet approval, general ledger posting or accounting-policy review happens automatically. Demonstrate the relevant behavior and confirm the purchased feature set.

Implementation Considerations and Process Changes

Establish the source contract

Define a source contract for each important extract: the approved report or query, selection criteria, record identifiers, financial context, expected refresh behavior and accountable owner. This is a proposed documentation convention. Its purpose is to make a rerun and a reconciliation possible without relying on the original preparer’s memory. The proposed source contract records:

  • Definition: The report, saved search or query identifier and approved version.
  • Population: Included record types and the reason for each material exclusion.
  • Period: The applicable accounting period and cutoff treatment.
  • Entity: The subsidiary or consolidation context required by the consumer.
  • Book: The accounting book intended for the output.
  • Currency: The reporting currency and required translation treatment.
  • Transformation: The mappings, joins and adjustments applied after extraction.
  • Execution: The refresh identity, schedule and visible completion or failure record.
  • Accountability: The owner, reviewer and approved evidence location.

Specify the period, subsidiary, accounting book and currency, rather than embedding them only in a filename. Oracle states that a report’s subsidiary context determines its base currency; it also documents the selected accounting book becoming the default on the next run. [28] [29] A workbook that balances in the wrong context can still be unsuitable for its consumer.

Document transformations as well as extraction. Power Query displays transformations in its Applied steps list and allows inspection of each step’s results. [20] Use that visibility to explain row exclusions, joins and mapping choices. For formula-based models, FAST recommends simple, clear formulas, while the National Physical Laboratory’s spreadsheet-validation guidance advocates software-engineering principles in development and testing. [11] [30]

Prove replacement parity and explain differences

Build a replacement-parity record with an expected result, test population, old output, proposed output, explanation of differences, reviewer and acceptance decision. Agreement with an old workbook alone is insufficient: an intentional correction should be documented, while an unexplained difference should remain open. PCAOB guidance separately emphasizes precision and detail appropriate to the audit purpose when information is used as audit evidence. [5]

The following proposed acceptance checklist should be scaled to local consequence:

  • Population: Reconcile source counts and control totals, and explain excluded or duplicated records.
  • Context: Confirm period, entity, book, currency and consolidation choices against the agreed requirement.
  • Inputs: Trace manual assumptions and adjustments to an owner and retained supporting evidence.
  • Calculations: Reproduce significant transformations, formulas and mappings with selected independent checks.
  • Exceptions: Test missing mappings, empty populations, rejected inputs and failed refreshes where applicable.
  • Roles: Demonstrate access as preparer, reviewer and intended recipient, including restricted views.
  • Output: Compare detail and summaries, and obtain acceptance from authorized consumers.
  • Evidence: Retain the tested version, results, approved exceptions and sign-off in the approved location.

The checklist is this report’s recommendation. Its emphasis on completeness and accuracy is consistent with the scoped audit-evidence requirements in PCAOB AS 1105; formal output approval also appears in the AQuA Book. [5] [6] Testing should occur in a suitable nonproduction environment before changing a live refresh or posting process.

A workbook disposition (Hypothetical Example)

Consider a fictional operating-expense variance workbook used by a controller. Its output combines actuals, a manual department mapping, forecast assumptions and an approval log. The proposed disposition is to retain the assumption model, govern the actuals extract, resolve mapping ownership upstream and evaluate a separate approval workflow. Retirement applies only to duplicate distribution copies after recipients accept the approved output.

Acceptance would require reconciling the extract to its agreed source context, explaining each mapping, reproducing the variance calculation and testing the reviewer’s role. The continuity owner would rerun the accepted process from the retained instructions. This is an invented example of a mixed disposition, not a claim about a client, a measured result or a feature automatically supplied by a connector.

Control retained workbooks and connections

A retained workbook needs a named owner, documented release and backup arrangement. ICAEW recommends regular backup and version control, while Microsoft states that Microsoft 365 version history requires storage in OneDrive or SharePoint. [2] [31] Confirm the actual storage setup rather than assuming that a local file has equivalent recovery evidence.

Apply a separate access review to live refresh links. Oracle identifies OAuth 2.0 as its preferred Connect authentication method; choosing an authentication mechanism is only part of assessing the connection’s access. [15] Evaluate the executing identity, accessible population, credential ownership and recipient permissions. Least privilege supplies the general access principle. [18]

For change management, a contextual reference is NIST SP 800-171 Revision 3: it calls for approved configuration changes to be implemented and documented, with potential security impacts considered before implementation. [32] That publication concerns controlled unclassified information in nonfederal systems; it is not a blanket compliance requirement for finance workbooks. The proposed operating practice is to record a change, its reviewer and the evidence needed to accept it.

Data Analysis and Evidence

What the research does and does not establish

The historical study Controls over Spreadsheets for Financial Reporting in Practice describes 38 US participants and financial-reporting spreadsheet controls in a Sarbanes-Oxley Act (SOX) context. [7] Its full paper reports 26 longer-survey responses and 12 shorter-survey responses. [33] The recruitment approach prevents calculation of a response rate, and participants could skip questions. [33] These limitations prevent treating the study as a representative estimate of current NetSuite workbook quality.

Its relevant contribution here is lifecycle coverage, rather than a reusable error percentage. [7] Similarly, a UK auditing standard states that automated controls may be more reliable than manual controls; it does not establish a quantified benefit for an untested spreadsheet replacement. [34] The standard’s scope is UK audit practice. This report therefore supplies no universal productivity gain, error-rate reduction or payback benchmark.

A local cost comparison (Hypothetical Example)

All amounts, hours and operating assumptions in this subsection and Table 3 are illustrative inputs, not observed results, vendor prices or benchmarks. The fictional workbook runs 12 times per year. Preparation takes 150 minutes and review takes 90 minutes per run. An assumed redesigned process takes 45 preparation minutes and 60 review minutes, valued at an assumed loaded labor rate of $80 per hour.

Calculate annual capacity as runs multiplied by preparation plus review minutes, divided by 60. Baseline effort is 48 hours; proposed effort is 21 hours; the difference is 27 hours. Valued at the illustrative rate, this is $2,160 of annual capacity, not an automatic cash saving. These figures are arithmetic from the stated fictional inputs and do not require a market benchmark.

Table 3 separates the fictional capacity calculation from incremental cash expenditure.

MeasureIllustrative baselineIllustrative proposed stateDecision interpretation
Preparation and review12 × 240 minutes ÷ 60 = 48 hours/year12 × 105 minutes ÷ 60 = 21 hours/year27 hours/year released if the assumptions hold.
Capacity valued at $80/hour$3,840/year$1,680/year$2,160/year of valued capacity; no cash reduction assumed.
Incremental recurring cash$0 in this simplified comparison$1,200/year assumed licenses and supportPositive incremental cash spend, even if staff time falls.
One-time transition$040 internal hours plus $2,000 external cashAt $80/hour, internal capacity is valued at $3,200; total transition resource value is $5,200.

On these fictional assumptions, annual capacity value less recurring cash spend is $960. Dividing the $5,200 transition resource value by that amount yields approximately 5.4 years, a simple resource-value recovery calculation. It is not a cash payback estimate: no payroll, contractor or other existing cash expenditure has been shown to fall. If a buyer needs a cash case, include only demonstrated avoidable cash costs on the savings side.

Replace every illustrative input with observed runs, timed preparation and review, agreed labor valuation, written supplier terms and implementation estimates. Keep error correction, exception handling and maintenance in scope. Evaluate whether the released capacity can be assigned to a named activity; then verify actual effort after adoption. A workbook-count reduction alone supplies neither a cash benefit nor evidence that the required result survived.

A replacement should not earn acceptance solely because its totals match an old workbook or because the estate contains fewer files.

Implications and Future Directions

A spreadsheet portfolio should become an ongoing operating record. ICAEW recommends that spreadsheet owners monitor changes; the AQuA Book similarly treats maintenance and continuous review as part of the analytical lifecycle. [2] [6] Trigger reassessment when accounting policy, process ownership, source data, integrations or the consumer’s decision changes. The disposition accepted at go-live may cease to fit the next operating requirement.

Automation should also preserve reviewability. The UK auditing guidance’s discussion of monitoring concerns whether controls continue operating effectively over time. [34] For a finance team, a proposed practical response is to track refresh exceptions, unresolved reconciliations and overdue owner reviews alongside preparation effort. Use those observations to decide what to improve next rather than assuming a scheduled process remains controlled indefinitely.

Retire safely after consumer acceptance

Use the following proposed retirement conditions for operational workbooks:

  • Acceptance: Authorized consumers approve the replacement or confirm that the output is no longer required.
  • Dependencies: Owners update downstream reports, uploads, links and instructions before withdrawal.
  • Records: Approved versions and supporting evidence are preserved under the organization’s retention policy.
  • Execution: Scheduled refreshes, distributions and operating access are withdrawn through the approved process.
  • Continuity: A named owner can retrieve the preserved record and explain the accepted change.
  • Closure: The inventory records the decision, effective date, remaining exceptions and evidence location.

Archiving requires a format decision. UK government guidance notes that macros do not export to comma-separated values (CSV), and that future application versions may not run an archived macro. [19] A static output may preserve an approved presentation while failing to preserve the executable model. Decide which record the business actually needs before deleting the working file.

When outside help is needed, scope the engagement from a specific workbook and its dependencies. Houseblend or another NetSuite consultancy can be considered for the relevant reporting, integration or process work; ownership and acceptance remain with the organization. The brief should name the output, unresolved source issues, selected disposition and proof required. That produces a reviewable optimization decision rather than a general request to eliminate spreadsheets.

Frequently Asked Questions (FAQs)

Can NetSuite replace Excel spreadsheets?

It can be the destination for suitable reporting or process work, while exports remain supported. [1] Decide from the workbook’s purpose and acceptance evidence. A management scenario and an approval workflow need different evaluations.

Does a NetSuite Excel connector remove spreadsheet controls?

A connector changes the data path. ExtendInsights, for example, separates feature sets and limits writeback to specified data sources. [23] Formula ownership, access, source completeness and reviewer acceptance still need explicit decisions.

How should finance teams automate recurring spreadsheet reporting?

Define the approved population and final output first, then demonstrate refresh and exceptions. Do not accept a refreshed query preview as proof of an updated worksheet: Microsoft distinguishes those operations. [8] Measure preparation and review after the proposed workflow is accepted.

When should planning move beyond a standalone workbook?

Evaluate a shared planning workflow when its requirements justify the transition. Reporting and planning submission remain separate capabilities: Workday documents linked presentation refresh, while Anaplan requires a read/write connection for Send and Refresh. [26] [35] Prove the required submission and approval behavior rather than inferring it from an Excel interface.

Conclusion

The useful outcome for NetSuite finance spreadsheets is an accepted set of workbook decisions. Begin with the business purpose, the consumer’s required result and the source records. Then determine whether the workbook should remain a controlled model, receive a governed refresh, become a report or workflow, move into a suitable planning application, or leave operational use.

The original inventory and disposition matrix supplies a practical basis for that discussion. It joins ownership, source context, transformations, permissions and downstream dependencies to a proposed destination and its acceptance evidence. It also distinguishes a valid management assumption from recurring repair work that needs an upstream process or data owner.

Funding should follow the same discipline. Use observed effort and written cost inputs, label assumptions and separate released capacity from cash savings. A replacement should not earn acceptance solely because its totals match an old workbook or because the estate contains fewer files. Required outputs, relevant exceptions, access and review evidence all belong in the decision.

Finally, retain accountability after implementation. Record who accepted the result, where supporting evidence is kept and what changes should trigger reassessment. Retire the operational workbook only after authorized consumers accept the outcome and required records are preserved. The objective is a finance process that remains explainable and usable, with each spreadsheet retained or removed for a documented reason.
